New Features: Filter and Download Applicants

We've heard from employers that reviewing applications can become difficult when a role attracts a large number of applicants. You have told us you want an easier way to find specific groups of applicants and create email lists when communicating with multiple applicants.

To help with this, we've added new filtering and download tools to the Applications Board. These tools give you more control over how you view applicants and make it easier to work with larger applicant pools.

These features do not change your applicants, application stages or job listing. They simply provide more ways to view, review and download applicant information already available in the Applications Board.


Filter applicants

The filters at the top of the Applications Board allow you to quickly narrow down the applicants displayed on screen.

As you apply filters, the applicant count updates automatically so you can see how many applicants currently match your selections.

Example:

or

5 of 48
applicants shown

This means 5 applicants currently match your selected filters out of 48 total applicants for the role.

What do the filters mean?

Eligible to work in NZ

This filter is based on the applicant's response to the application question about their legal ability to work in New Zealand.

  • Yes - Show applicants who have indicated they are eligible to work in New Zealand.
  • No - Show applicants who have indicated they are not currently eligible to work in New Zealand.

Resides in NZ

This filter is based on the applicant's response about where they currently live.

  • Yes - Show applicants who currently reside in New Zealand.
  • No - Show applicants who currently live outside New Zealand.

Show all

Clear the eligibility and residency filters and return to viewing all applicants.


View and download applicants

Select View and download from the Applications Board to open the applicant review window.

This window gives you a larger view of your filtered applicants and allows you to further refine your list before downloading information.

Within this window you can:

  • Review applicant details.
  • Filter by application stage.
  • Download applicant information.
  • Create email lists for selected applicants.

Filter by application stage

Within the review window you can filter applicants by application stage.

Depending on your workflow, stages may include:

  • New
  • Shortlist
  • Contact
  • Interview
  • Offer
  • Not suitable

You can:

  • View all stages.
  • Select a single stage.
  • Select multiple stages.

The applicant count and table update automatically as you change your selections.

Examples:

  • Download only applicants currently in the Interview stage.
  • Review only shortlisted applicants.
  • Create an email list for applicants in the Contact stage.

Review applicant details

The applicant table displays:

  • Number
  • Name
  • Application stage
  • Eligible to work in NZ
  • Resides in NZ
  • Email address

Only applicants matching your selected filters and application stages are displayed.

This makes it easy to confirm you have the correct group of applicants before downloading any information.

Downloading applicant information

Download applicant table as CSV

This creates a spreadsheet-friendly CSV file containing the applicant table currently displayed.

The CSV file contains:

  • Number
  • Name
  • Application stage
  • Eligible to work in NZ
  • Resides in NZ
  • Email address

This option is useful if you want to:

  • Review applicants in Excel.
  • Sort or filter applicants outside the Applications Board.
  • Share applicant information with authorised staff.
  • Keep recruitment records.

Download applicant table as TXT with email lists

This option creates a text file containing:

  • The applicant information shown in the table.
  • Applicant email addresses.
  • Email lists for contacting multiple applicants.
  • Privacy reminders and BCC guidance.

This option is particularly useful when you need to contact a group of applicants.

Contacting multiple applicants

Before sending an email:

  • Check that the applicants listed are correct.
  • Confirm that the application stages are correct.
  • Confirm that the email addresses are correct.

Always review the downloaded information before contacting applicants.

Protecting applicant privacy

When emailing multiple applicants:

  • Use the Blind Copy (BCC) field.
  • Do not place applicant email addresses in the To field.
  • Do not place applicant email addresses in the CC field.

Using BCC prevents applicants from seeing other applicants' email addresses and helps protect applicant privacy.

 


Example workflow

  1. Open the Applications Board.
  2. Filter applicants by eligibility or residency.
  3. Select View and download.
  4. Filter by application stage.
  5. Review the applicant table.
  6. Confirm the applicant count.
  7. Download the CSV file for reporting or review.
  8. Download the TXT file if you need email lists.
  9. Check the applicant details.
  10. If emailing multiple applicants, use the BCC field.

Frequently asked questions

Do the filters change my applicants?

No. The filters only change what is displayed on screen. They do not update applicant information, application stages or job settings.

Will filtering applicants remove people from my Applications Board?

No. All applicants remain available. The filters simply help you focus on a smaller group of applicants.

Can I use more than one filter at a time?

Yes. You can combine eligibility, residency and application-stage filters to find a specific group of applicants.

Example:

  • Eligible to work in NZ = Yes
  • Resides in NZ = Yes
  • Application stage = Interview

Why doesn't the applicant count match the total number of applicants?

The first number is the number of applicants that match your filters.

The second number is the total number of applicants for the role.

Example:

8 of 48 applicants shown

This means 8 applicants match your current filters, while 48 applicants exist in total.

Can I download only shortlisted applicants?

Yes. Open View and download, select the Shortlist application stage, and download the filtered results.

What is the difference between the CSV and TXT download options?

The CSV download is designed for spreadsheets and contains only the applicant table.

The TXT download contains:

  • Applicant details.
  • Email lists.
  • Guidance for contacting applicants.
  • BCC reminders.

Why does the TXT file contain two email-list formats?

Different email applications may expect email addresses in different formats. Providing two formats gives you an alternative if one format is not recognised correctly by your email application.

Can I email applicants directly from the Applications Board?

No. The download tools help you prepare applicant information and email lists, but emails must still be sent using your normal email application.

What should I do with downloaded applicant files?

Applicant information should be treated as confidential. When you no longer need a downloaded file, delete it securely and follow your organisation's privacy and recruitment policies.
